Executive Coordinator

Do you want to work closely with the big decisions, hold important issues together and create conditions for better business? We are now looking for an Executive Coordinator who will work closely with our CEO and management team.
Your role
As an Executive Coordinator, you are a close support to our CEO and an important part in making the everyday life around the CEO and management function effectively. You create structure and contribute to foresight, drive activities towards goals and ensure that the right things happen at the right time.
You are responsible for parts of the CEO's calendar and correspondence, as well as planning and coordinating meetings and travel. You help prioritize incoming questions, collect and quality-assured documentation, and ensure that the CEO has the right information for important meetings and decisions. The role also includes ongoing administration linked to the CEO and management, such as document management.
You also coordinate the work of the management team. This includes preparing agendas and supporting documents, documenting meetings and decisions, and following up on activities. In this way, you contribute to structure and progress even between meetings.
As Executive Coordinator, you will be an important point of contact both inside and outside Sunpine. You will have ongoing contact with customers, owners and other external stakeholders and be responsible for coordinating important visits and activities. You are part of the HR team and report to the HR Manager. You will also work closely with our communications function, including in connection with management communications, internal activities and information sessions.
Who are we looking for?
This is a role for those who want to work closely with management and gain a deep understanding of how companies are run and developed. Through close collaboration with the CEO and management, you gain insight into many parts of Sunpine and face issues ranging from daily operations to important business and long-term choices. With that understanding, you can work proactively, set your own priorities and catch things that need to be handled – before anyone has time to ask you.
At the same time, you will be working in the midst of an industry in transition. The energy transition, reduced carbon emissions and the need for alternatives to fossil fuels are issues that affect both our business and our customers. As part of VAROPreem, Sunpine is also part of a global operation, with international contacts and collaborations.
The role gives you a great deal of personal responsibility and the opportunity to gradually take on greater responsibility as you get to know the business.
We are looking for someone with experience in qualified administrative work or management support. Experience working closely with the CEO or other senior management is an asset, as is experience from international operations and project management.
In this role, language is an important working tool. You will handle correspondence, meeting materials and documentation and have contact with people both inside and outside Sunpine. Therefore, you need to be able to express yourself clearly and professionally, and communicate freely in Swedish and English, both spoken and written.
You have very good digital skills and are used to working in Microsoft 365 and other digital work tools.
As a person, you are structured, independent and proactive. You can handle many parallel issues without losing sight of the whole and have the ability to determine what is important now, what can wait and what needs to be followed up. At the same time, you are unpretentious and prepared to tackle both big and small issues when needed.
The location is Piteå and the position is a permanent position.
